Position Overview

LandStudies, a Davey company, is seeking an organized, proactive, and detail-oriented Marketing & Proposal Coordinator to manage our end-to-end proposal creation, marketing campaigns, and lead-tracking systems.

Reporting directly to the Design Division Coordinator, this role serves as the central engine during fast-paced RFP bidding cycles – driving team productivity, maintaining schedule milestones, and holding technical contributors accountable to deadlines. Simultaneously, you will oversee LandStudies’ day-to-day marketing presence, manage our CRM pipeline, and coordinate collaborative bidding efforts across parent company offices (WSSI / Davey).

Key Responsibilities

Proposal & RFP Coordination

  • Lead and assemble compliant, high-quality proposal and grant packages from kickoff to submission.
  • Establish submission schedules, coordinate milestones, draft administrative sections, and gather/integrate technical content from subject matter experts.
  • Drive team accountability and maintain workflow momentum during time-sensitive bidding windows.
  • Serve as the primary LandStudies liaison for joint bidding opportunities and collaborative proposals with parent company teams (WSSI / Davey).

Grants & Funding Acquisition

  • Research federal, state, and local grant opportunities aligned with LandStudies' ecological restoration capabilities; maintain an active tracking calendar.
  • Draft, write, and package grant applications, narrative justifications, and required supporting documentation.
  • Coordinate cross-functional input to meet strict grant submission deadlines.

Marketing & Brand Communications

  • Plan and execute marketing campaigns, digital newsletters, website updates, and social media schedules under leadership direction.
  • Manage company social media channels: produce graphics, craft posts, engage with audiences, and evaluate analytics to optimize reach.
  • Curate and maintain LandStudies’ digital asset library, including project photography, case studies, project descriptions, and standard proposal templates.

Business Development & Pipeline Tracking

  • Administer LandStudies’ CRM platform (Salesforce), ensuring real-time accuracy across active leads, historical bids, cold inquiries, and follow-ups.
  • Triage incoming business development inquiries and calls; evaluate prospective leads, log them in the CRM, and route qualified opportunities to leadership within 24-48 hours.
  • Provide occasional administrative support to the main office phone line and Field Operations/Maintenance teams.

Events & Community Outreach

  • Manage logistics, exhibit materials, promotional collateral, and expense tracking for industry trade shows and conferences.
  • Represent LandStudies at conference exhibits, municipal meetings, and community events (approximately 6-12 events annually, with occasional evening or weekend requirements).

Qualifications

  • Education: Bachelor’s degree in Marketing, Communications, Public Relations, Environmental Studies, or a related discipline.
  • Experience: 3-5 years of progressive experience in proposal coordination, marketing, or business development support. Prior experience within the A/E/C (Architecture, Engineering, Construction) or environmental consulting sectors is strongly preferred.
  • Technical Proficiency:
    • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Working proficiency in Adobe Creative Cloud (specifically InDesign and Acrobat).
    • Direct experience with – or a demonstrated aptitude to quickly learn, administer, and maintain – CRM systems (e.g., Salesforce).
  • Core Competencies:
    • Exceptional time management, deadline prioritization, and detail orientation.
    • Strong written and verbal communication skills, paired with the diplomatic assertiveness needed to hold technical team members to submission schedules.
    • Relationship-building skills to collaborate smoothly across multidisciplinary teams and remote corporate offices.
