Position Overview

The IT Billing Specialist is responsible for the processing, allocating, and reconciling costs related to cellular, communication, software, and cloud services. This role ensures accurate billing, cost analysis, and vendor invoice management to promote financial accountability and efficiency within the Information Technology (IT) Department. The role also assists with IT procurement processes to support overall operational effectiveness.

 

Position will pay $28-31 hourly based on skills and experience. 

Job Duties

● Review, analyze, and process all technology related bills and invoices for accuracy and ensure payment in a timely manner.
● Prepare appropriate chargebacks for service line departments and answer inquiries regarding charges to the business.
● Conduct research and compile reports for management.
● Research and provide responses to inquiries, ensuring satisfaction from management.
● Maintain strong relationships with carriers and vendors to stay informed about service updates and changes.  
● Provide recommendations for optimizing telecommunications and mobility plans.
● Prepare recommendations for corrections to telecommunications assets. 
● Process purchase orders, goods receipts, goods issues and invoices, credit memos, and Return Merchandise Authorizations (RMA) for inventory and capital expenditure items.
● Manage Material Numbers in SAP.
● Manage Tickets for IT related items for use by all other areas of the Company.
● Manage and resolve any billing discrepancies or disputes.
● Ensure all billing information is accurate and error-free.
● Review invoices, payments, and financial records to ensure completeness and compliance.
● Maintain organized and accessible billing records.
● Coordinate with Accounts Payable and Receivable Departments.
● Communicate with vendors to gather necessary billing information.
● Implement improvements to billing processes and systems.
● Maintain positive relationships with clients and vendors to enhance collaboration, trust, and long-term success.
● Regular and timely attendance. 
● Perform other related duties as assigned.
● Follow all company policies, procedures, and work rules.

Qualifications

Required: High school diploma or equivalent. 
Required: At least 3 years of experience in billing or a related administrative role.
Required: Proficiency with accounting software and Microsoft Office, with a strong emphasis on Microsoft Excel.
Required: Excellent problem-solving and analytical skills.
Required: Attention to detail and accuracy.
Required: Strong communication and interpersonal skills.
Required: Ability to work independently and manage time effectively.
Required: Ability to recognize and react appropriately to urgent situations.
Preferred: Bachelor’s degree in Business Administration, Accounting, or a related field.
