Position Overview
The Utility Billing Specialist supports billing operations for Davey Tree providing vegetation management services to utility companies. This role is responsible for preparing accurate invoices based on contract terms, pricing and completed fieldwork (e.g., line clearance, pruning, removals). The position requires close coordination with field crews, utility clients, operations teams and partnering Davey departments to ensure compliance, accuracy, and timely invoicing and payment.
Key Responsibilities
- Generate invoices based on utility contracts, work orders, and completed vegetation management services based on time sheets and billing requests
- Interpret and apply T&M, lump sum & unit-based billing (e.g., per tree, per mile, per circuit, or per crew day)
- Review field data (crew sheets, timesheets, production reports, GIS data) for billing accuracy
- Compliance with utility contract requirements, rate sheets, and billing schedules
- Utilize the Zendesk ticketing system to ensure all incoming tickets are properly logged, promptly handled, and fully resolved
- Submit invoices through utility billing systems or vendor portals
- Investigate time sheet and invoice discrepancies and resolve with field managers/operations as needed
- Coordinate with operations managers, foresters, and supervisors to verify completed work
- Support audits by maintaining organized documentation of billed work
- Assist with storm response billing, including emergency and overtime rate application
- Prepare reports for management on billing status, revenue, and outstanding balances
- Record and track all work in progress (WIP) weekly to ensure all work is properly billed and accounted for
- Consistently meet weekly and monthly deadlines
- Adhere to all company policies, procedures, and work standards
Required Skills & Qualifications
- High school diploma or equivalent (associate or bachelor’s degree in related field preferred)
- 2+ years of billing, invoicing, or accounting experience (service or contract-based environment preferred)
- Strong understanding of contract billing and different pricing structures
- Proficiency in Microsoft Excel (formulas, data validation), Outlook and Word
- Ability to analyze large datasets and reconcile discrepancies
- Excellent attention to detail and organizational skills
- Strong communication skills for clearly, accurately, and professionally interacting with employees, clients, and the public
- Ability to manage multiple contracts and deadlines simultaneously
- Capability to perform high-volume data entry efficiently
Preferred Qualifications
- Experience in utility vegetation management or tree care industry
- Familiarity with utility clients (e.g., electric, gas, or municipal utilities)
- Experience with systems such as QuickBooks, SAP, Oracle, Ariba, or proprietary utility portals
- Understanding of compliance requirements (safety, environmental, and contractual)
- Experience with storm/event billing and emergency response documentation
