Position Overview
The Fleet & Equipment Administrator is an essential part of Asset Management’s fleet management and equipment ordering program and is responsible for administering day-to-day of these functions. This position will report to the Fleet Manager but also work closely with our profit center owners to ensure that vehicles and equipment needs match the field resources required.
Specifics: Fulltime in office, central location, reporting to Richfield, OH, Domestic Travel less than 10%
Compensation: Commensurate with experience, range $24-28/hr
Job Duties
What You’ll Do:
- Oversee day-to-day fleet activities including incident reporting, risk level change notifications, transportation, vehicle dispositions, and reassignments.
- Work closely with Davey Tree Corporate Fleet Administration, Enterprise, and related outside vendors and service providers including vehicle manufacturers.
- Responsible for authorizing collision repairs.
- Analyze fleet data from all relevant sources and prepare related reports and analyses used for decision-making, management reporting, and vehicle negotiation decisions.
- Based on the analysis performed, make recommendations for corporate process improvements.
- Implementation of vehicle and equipment specifications and cost management programs, with the support of the Fleet Manager.
- Establish policy compliance and reporting. Recommend changes to policies and procedures to maximize the fleet’s efficiency and profitability while reducing liability exposure.
- Supporting the needs of field teams related to the logistics of computers and related equipment. (Acquisition and disposal of assets)
- Maintain accurate equipment inventory tracking
- Administer approval of equipment purchases
- Assist in developing a comprehensive business process for equipment ordering and tracking.
- Learn the Motive Telematics program and web site to support driver safety and other fleet metrics. Understand the various reports and which ones are used for: utilization, driver safety, and how to identify active/inactive devices.
- Assist with identifying driver risk level changes in the new program so we can provide appropriate driver training and corrective action as needed
- Responsible for maintaining, monitoring, and managing vehicle assignment information in Fleet Database
- Perform periodic vehicle inventory and maintain accuracy
- Provide guidance, define and communicate policies & procedures to external and internal customers. Ensure deadlines are met
- Respond to correspondence (phone, email, etc.) with a high degree of accuracy and timeliness
- Assist in invoice/budget tracking.
Qualifications
What We’re Seeking:
- Minimum 1+ years’ experience in fleet administration or 2+ years of Davey experience in other relevant disciplines will be considered in place of a fleet administration background.
- Possess analytical skills and ability to use business tools such as Excel/Google Sheets at an intermediate level and a variety of reporting systems.
- Skilled in Microsoft/Google. Strong data mining skills with a good understanding of database functionality.
- Experience with fleet management company databases or similar fleet management software preferred.
- Industry-related regulatory requirements preferred (DOT, FMCSA)
- Strong listening and communication skills; oral, written, and presentation.
- Must have the ability to prioritize multiple tasks effectively.
- Ability to interact with individuals at all levels of the organization and outside parties
- Detail-oriented and organized with a focus on quality and consistency, including strengths in documentation and protocol/policy/procedure adherence.
- Possess initiative, and a self-starter capable of working with minimal direction. Proficient in completing assigned responsibilities and projects working independently and in teams
